Studio & Schedule Policies

Schedule Changes

Soul In Motion Dance Company reserves the right to:

  • Adjust schedules

  • Change class times

  • Reassign instructors

  • Modify programming if necessary

As we grow and build our programs, offerings and schedules may be adjusted based on enrollment to ensure the best possible experience for all dancers. All changes will be communicated in advance whenever possible.

Studio Use & Rental Policy

  • All classes and rehearsals will take place at a designated rental studio location (15 Plains Rd W, Burlington, ON, L7T 1E8) for the duration of the season. This space is a shared facility and is not owned or operated by Soul In Motion Dance Company.

  • Dancers and families are expected to treat the studio space with care and respect at all times, including all common areas such as lobbies, hallways, and change rooms.

  • All participants must follow the rules, policies, and guidelines set by the rental facility, including but not limited to cleanliness, noise levels, and use of space.

  • Any damage to the facility or failure to follow studio policies may result in additional charges or disciplinary action.

  • Soul In Motion Dance Company reserves the right to enforce all studio rules to ensure a safe, respectful, and professional environment for all users of the space.

We appreciate your cooperation in helping us maintain a positive relationship with our studio partners and a respectful environment for all.

Miscellaneous Policies

Inclement Weather Policy

  • In the event of studio closures due to weather or unforeseen circumstances, classes may be rescheduled or substituted with alternate programming at the discretion of the studio

Force Majeure Policy

  • In the event of circumstances beyond the studio’s control, including but not limited to public health restrictions or facility closures, programming may be adjusted.

Payment & Withdrawal Policies

Acceptable Payment Methods

Drop-In Class/Audition Payment Policies

  • All drop-in classes must be reserved in advance through our online registration system. Spots are limited and not guaranteed without registration.

  • Full payment is required at the time of registration to secure your spot in class.

  • All drop-in class payments are non-refundable.

  • Cancellations made at least 12 hours in advance of the scheduled class will receive a class credit to be used toward a future drop-in class.

  • Cancellations made within 12 hours of the class, or missed classes (no-shows), will not be credited or refunded.

  • Approved credits must be used within the current summer session and cannot be transferred or extended beyond the season.

  • Classes require a minimum number of participants to run. If a class is cancelled due to low enrollment, you will receive a full credit or refund.

  • No refunds or credits will be issued for missed class time due to late arrival.

  • If a class is full, you may join the waitlist. If a spot becomes available, you will be notified and must complete payment promptly to secure your place.

Private Lesson Payment Policies

  • All private lesson fees must be paid in full prior to the first scheduled lesson.

  • A minimum of 2 hours’ notice is required to reschedule a lesson without penalty.

  • Cancellations require 24 hours’ notice. Lessons cancelled with less than 24 hours’ notice may be subject to the full lesson fee.

  • No-shows will be charged the full lesson fee.

Recreational Program Payment & Withdrawal Policies

  • Tuition is broken down into 10 installments, paid monthly from September-June and includes weekly classes. Recital costume fees are built into the monthly tuition price.

  • Tuition is divided into 10 installments for convenience. Monthly tuition remains consistent regardless of the number of classes in any given month, including partial months at the beginning and end of the season.

  • A non-refundable first month’s tuition deposit is required at the time of registration. This deposit will be applied to the dancer’s September tuition and secures the dancer’s place in the program.

  • Tuition payments are due on the 1st of each month via e-transfer, cash, post-dated cheques, or credit card.

  • Missed classes or rehearsals do not result in refunds or credits.

  • Failure to make tuition payments may result in removal from classes.

  • Late payments are subject to a late fee of $25 after a 5-day grace period.

Recreational programs at Soul In Motion Dance Company are designed to offer flexibility while maintaining consistency for all dancers.

  • A minimum of 30 days written notice is required to withdraw from any class.

  • Tuition during the 30-day notice period remains fully payable, regardless of attendance.

  • Withdrawals cannot be backdated, and no refunds or credits will be issued for missed classes or partial months.

  • As classes begin preparing for the year-end showcase, withdrawals will not be permitted after March 1st to ensure consistency in choreography, formations, and overall class experience.

By registering as a student at Soul In Motion Dance Company, families acknowledge and agree to all of the policies outlined above, which are designed to ensure a consistent, high-quality experience for all dancers while supporting the structure and sustainability of our programs.
